ENCATC is Hiring an Administrative Officer

Established in 1992 in Warsaw, ENCATC is an independent organisation and the only European network in the field of cultural management and policy. IMPORTANT INFORMATION: 

  • Location: Brussels, Belgium.

  • Duration of the contract: 3 years.
  • Net salary: To be discussed according to the working experience of the candidate.


JOB DESCRIPTION: 

Role in the organisation: She/he will assist on daily basis the ENCATC Secretary General in the administration, programming, and financial implementation of ENCATC annual workplan. She/he will also oversee the Membership databases and of all membership related issues.

Position in the organisation Chart: Activities department.

Reporting relations / responsibilities: Reporting and under the responsibility of the Secretary General. 

Working hours: Full time, 38 hours week.

Working environment conditions: Multicultural environment. The candidate will be working in Brussels from the office. This position is not offered in an online format.  


TASKS & DUTIES:

The Administrative officer will be responsible for:

  • Supporting the Secretary General  with administrative functions.
  • Collating budget and expenditure data.
  • Scheduling meetings.
  • Taking minutes.
  • Coordinating project activities.
  • Administrating the ENCATC internship programme.
  • Collating contracts, timesheets, and reports.
  • Drafting presentations and formatting documents.
  • Facilitating project communications.
  • Managing the Membership database.


REQUIRED KNOWLEDGE, COMPETENCE AND EXPERIENCE:

The candidates must be able to work independently and will need to complete a wide range of activities requiring clear, effective communication, critical thinking, ability to work in a team, excellent organisational and interpersonal skills as well as attention to detail.

In particular, she/he should have a degree on business administration, or eventually bachelor studies on business administration.

  • Proven and significant professional experience of at least 4 years in a similar position within a similar organisation.
  • Excellent command of English (C1 spoken and written) is mandatory.
  • Computer skills including the use of Microsoft Office tools, WordPress CMS, and the ability to solve small IT problems.
  • Able to work well in an international environment.
  • Well-organised with an eye for detail.
  • Excellent writing skills.
  • Ability to take the initiative, prioritise tasks and work under set deadlines.
  • Flexibility to travel for work.
  • Hands-on and result-oriented, with a can-do mentality.
  • Strong & well-developed interpersonal skills.
  • A good team player but also able to work independently.
